Our methodology

How we approach every engagement

1. Observe first

We spend time in your business before we advise. A process map starts with days of watching, not a questionnaire. Document capture starts with a review of your actual materials. Training starts with a brief on your real tasks.

2. Scope clearly

Before starting, we confirm what is in scope and what is not. If your document types suggest the capture trial will have limited coverage, we say so before you agree to proceed. No surprises after payment.

3. Deliver something usable

Every output is designed for use by the people who did not make it. A diagram readable by shop-floor staff, a spreadsheet formatted for your bookkeeper, a checklist sized to go on a wall.

Service 01

Process Map

A written map of how one part of your business actually runs, drawn from watching rather than asking. We pick the process that frustrates you most, follow it end to end for two or three days, and put it on paper with timings, handoffs and the points where work waits.

The map is useful whether or not you ever add software. Several clients have taken it and simply fixed the waiting instead. Delivered as a single diagram with a page of notes.

What is included

  • Two to three days of on-site observation at your premises

  • One page of written notes explaining the map
  • A brief debrief call once the deliverable is received

How it works

Receipt and invoice scanning
Coverage level: your common suppliers and formats · Two-week trial
Before you start: A box or folder of documents — receipts, PDFs, or phone photographs. Your bookkeeper does not need to be present during the trial.
Service 02

Receipt and Invoice Capture

A capture step for the shoebox of receipts and the pile of supplier invoices. Photographs or PDFs are read, the amounts and dates lifted into a sheet your bookkeeper can work from, and anything unclear is set aside for a human rather than guessed.

Scope covers your common suppliers and formats, a two-week trial period at your own pace, and an honest report on which of your document types it reads poorly. Handwritten notes generally remain a manual job, and we say so upfront.

How it works

Document review — you share samples of your invoice and receipt types. We tell you which will read well and which will not, before the trial starts.

Trial setup — we prepare the capture process for your common supplier formats and share instructions for submitting documents.

Two-week trial — you submit documents at your own pace. Captures accumulate in your working sheet; unclear items are flagged.

Final report — we deliver the completed sheet and a written report on coverage, limitations, and which document types require manual handling.

Before you start: A room where staff can sit together. A few tasks you currently do by hand that involve text or documents. Bring your own devices or we work with what is there.
Service 03

Small Team Training

A full-day training for up to twelve staff on using AI tools sensibly within a small business. Morning covers what the software does well and where it fabricates confidently. Afternoon is spent on your own real tasks with us beside you.

We include a section on what should never be entered into a third-party tool, which for most Malaysian businesses means customer identity details and anything covered by your client agreements. Materials and a wall checklist are yours to keep.
