Case Study 01 · Process Map

A building supplies distributor in Ipoh who needed to understand why orders were slow to process

The situation

Orders were taking two to three working days to confirm when the owner expected same-day. Nobody was sure where the time was going.

What we did

Three days of observation across the ordering process. The map showed four handoff points where work waited for a different person to notice it, two of which added a half-day each.

The result

Two waiting points removed by changing who was copied on the initial order email. Average processing time down to same-day for most orders. No software purchased.

Case Study 02 · Document Capture

A small food wholesaler in Taiping with a growing pile of unprocessed supplier invoices

The situation

Three months of supplier invoices in a physical folder, not yet entered into their bookkeeping system. Bookkeeper was spending full Fridays on manual entry.

What we did

Document type review first — PDF invoices from four regular suppliers read well; handwritten market receipts were excluded. Two-week trial against the backlog. Items outside scope flagged clearly.

The result

78% of the backlog captured and formatted for the bookkeeper within the two-week trial. Bookkeeper's Friday invoice time down to under two hours for standard supplier documents going forward.

Case Study 03 · Team Training

A professional services firm in Ipoh where staff were already using AI tools without consistent guidance

The situation

Seven staff were using AI writing tools with no common understanding of where to use them, where to avoid them, or what not to type in. The owner was uncomfortable but did not know how to address it.

What we did

One training day. Morning session on how the tools generate text and where they go wrong. A dedicated 45-minute section on what client information should not enter third-party tools. Afternoon on their actual drafting tasks.

The result

Staff now check the wall checklist before pasting anything into an AI tool. The owner introduced a simple internal rule about client data based on the training content. Three staff have since used the tools to speed up internal drafts they used to avoid because they took too long.
